Decide which job the software must do
List the jobs a normal week creates and the people who handle them. A treasurer may need cash and bank records with receipts; an accountant may need financial statements by fund and payables; a ministry team may also need attendance, events and member communication.
Separate essential tasks from useful extras. Ask the person who reviews the books which reports and accounting treatment are required. A receipts-and-payments summary has a different scope from a complete balance sheet with assets and liabilities.
Compare the scope before the monthly fee

Run a short test that reaches a checked balance
Use illustrative records first. Start with USD 200 in cash and USD 800 in the bank. Record an offering of USD 600 and cash expenses of USD 80 and USD 20. Deposit USD 500 from cash into the bank, then withdraw USD 100 back into cash.
The result should be cash USD 300, bank USD 1,200 and a combined USD 1,500. External income is USD 600 and expenses are USD 100. The two transfers change the account balances without changing total church income or expenses.
Use one period and currency throughout. Carry the opening balance separately from receipts. The linked cash-book example lets you check every step before repeating the same operations in an application.
Follow a receipt all the way to the report
Enter one purchase with a meaningful description and a supporting receipt. Find it again from the list, open the image and locate the same amount in the report. Check both a phone and a computer if your team uses both.
When a scanner suggests a date, category or amount, review the suggestion before saving. A legible image and an accurate saved record matter more than an automatic-looking animation. Check how the app handles a missing receipt and a later correction.
Check separate logins and private member records
Have another authorized person accept an invitation with their own account. Check the organization they join and the permissions they receive, then review what they can see and edit.
Someone viewing their own contributions should not need access to the entire church treasury. Include an unnamed offering in the test as well: a system should preserve the receipt without inventing a donor’s identity. Ask who can access detailed giving records and what appears in a report shared with the congregation.
Compare the actual cost for your church
Use your real count of tracked people, active members, users and sets of books. Providers do not all charge by the same unit. Confirm whether a quoted amount is a regular monthly price, an annual equivalent or a temporary introductory discount.
Keep the subscription separate from payment-processing fees. Check whether online giving is available for the country and bank account your church actually uses. For subscriptions purchased through a mobile app, review the offer and billing terms shown by that app store.
Keep evidence before moving the full history
Save the sample report, check its figures and confirm how you would retain your records. Review the treatment of internal transfers, opening balances and money reserved for a specific ministry before committing to a migration.
If you keep your existing spreadsheet during the trial, agree on a cutover date. Bring in the checked opening balances once and avoid recording the same offering in both the opening balance and the new period’s receipts.
Questions before choosing
Which is the best church accounting software?
The appropriate choice depends on the work and reporting requirements. Compare the same small case, permissions and final cost across the tools you are considering; a larger feature list does not by itself establish a better fit.
Are the four starting prices directly equivalent?
No. ChurchTrac scales with tracked people, Eclesi with active members, Aplos separates accounting features into plans, and ContaIglesia publishes a web plan for one church. Compare scope, limits, currency and the final billing offer.
Can I test ContaIglesia without a card?
The web trial lasts 14 days without a card. You can create a small set of illustrative transactions and review the result before deciding whether to subscribe.
Should I choose a general church platform or a treasury app?
List whether your immediate need is finance records and reports, formal accounting, or wider membership and ministry administration. Verify essential tasks in the actual product and consult the person responsible for your accounting requirements.
